Johns Hopkins University Administrative Coordinator in Baltimore, Maryland

We are seeking an Administrative Coordinator who will provide administrative and financial support to a faculty member in the Chemical and Biomolecular Engineering Department within the Whiting School of Engineering.

Specific Duties & Responsibilities

  • Coordinator will be responsible for preparing letters, memoranda, reports, agendas, charts, tables, abstracts, and itineraries, creating Word documents, Excel spreadsheets and PowerPoint presentations for various meetings and presentations, reviewing, sorting and directing mail and packages as appropriate.

  • Coordinator will be responsible for reviewing the professor’s inbox, organizing it, screening messages, and ensuring that urgent messages are responded to within 48 hours.

  • Coordinator will manage the professor’s calendars; scheduling and moving meetings as needed. Coordinator will help the professor prioritize time commitments according to strategic objectives. Coordinator will track commitments to travel, student mentoring, committees, and other obligations, and alert the professor to upcoming deadlines.

  • Coordinator collaborates with other support personnel within the department as required; assists with coordinating the planning of meetings, reserving event venues, and ordering catering.

  • Coordinator is also responsible for setting up Zoom and Team links for meetings.

  • Coordinator will be responsible for completing on-line managed travel program authorizations for visitors, and summer workshop participants.

  • Coordinator will book travel accommodations for the faculty member and completing reimbursement requests within SAP.

  • Coordinator will be responsible for entry level financial management, including reconciling the faculty member’s purchasing card monthly, sending and paying invoices as instructed, recording expenditures, and creating vendor accounts in Payment Works.

  • Coordinator will be responsible for managing the lab website, including keeping up to date the page of lab members, publications and theses, patents, etc.

  • Managing the professor’s CV (Word) and online publication profiles (Google Scholar, myNCBI, LinkedIn).

  • Coordinator will draft student letters of recommendation and track submissions to multiple application systems.

  • Coordinator will assist in reporting reports of invention, conflicts of interest, institutional review board, and grant reporting (e.g. NIH RPPRs).

  • Coordinator will communicate with lab members as needed.

  • Ability to maintain confidential information.

  • Excellent oral and written communication skills.

  • Demonstrated independent judgement and an ability to complete tasks with minimal supervision and follow-up.

  • Demonstrated enthusiasm for customer service and creative problem solving.

  • Strong critical thinking skills.

  • Excellent time management skills and experience managing multiple projects/tasks with conflicting deadlines.

  • Experience with Zoom and Teams, Google Docs, Slack..

  • Professional and pleasant demeanor

  • Ability to communicate clearly both orally and in written form.

  • Ability to use shared task-management systems (e.g. Todoist or Notion).

Technical Qualifications or Specialized Certifications:

  • The position requires using various software applications including SAP, Zoom, Adobe, spreadsheets, graphics packages to assemble, manipulate and/or format data and/or reports; operating personal computer to access email, electronic calendars, and other basic Microsoft and Google software.

  • May require sitting at desk for long periods of time and occasionally lifting boxes or electronic equipment weighing up to 20 lbs.

Minimum Qualifications

  • High School Diploma or graduation equivalent.

  • Three years related experience.

  • Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Role/Level/Range: ATO 37.5/02/OE

Starting Salary Range: $18.00 - $33.50 HRLY (Commensurate with experience)

Employee group: Part-time

Schedule: 20 hrs/wk, M-F

Exempt Status: Non-Exempt
