Missouri Slope Administrative Assistant - Assisted Living in Bismarck, North Dakota

Join our team as our new Administrative Assistant!

WORK HOURS:

Monday - Friday; 40 hours per week; 8:00 am - 5:00 pm

PRIMARY JOB FUNCTION:

To plan, organize and oversee the day to day operations of the front desk.

QUALIFICATIONS:

Must have adequate typing skills.

Database, spreadsheet and word processing proficiency required.

Ability to learn computer programs as necessary.

High School diploma or equivalent.

ESSENTIAL JOB FUNCTIONS:

  • Maintain positive interaction while greeting visitors in person, by phone or mail.
  • Answer primary phone line for community
  • Maintain lists, schedules and announcements for tenants and staff.
  • Maintain Missouri Slope Assisted Living forms, policy and procedures manual and records of staff training and licenses.
  • This position require strong communication, time management, problem solving and decision making skills.
  • Coordinate transportation for tenants.
  • Prepare newsletters and calendars as necessary.
  • Order office supplies for the assisted living community.
  • Responsible for scheduling, conducting tours of facility and initiating sales.
  • Aides in all marketing coordination and promotes Missouri Slope Assisted Living to prospective customers.
  • Coordinates admissions and discharges to/from Missouri Slope Assisted Living
  • Assist with collection of information for tenant billing.
  • Disbursement of tenant monthly statements and filing of Long Term Care Insurance.
  • Prepare deposits.
  • Maintain petty cash records and reporting.
  • Maintain appearance of front lobby area.
  • Aid in the distribution of postal packages.
  • Set-up and maintain tenant files.
  • Punctual and dependable with attendance.
  • Enter timecard information for payroll.
  • Safety precautions will be learned and followed. Will be responsible for adhering to safety policies and procedures established to protect the tenants and employees from unnecessary harm and injury.
  • Will be responsible to be aware of the Volunteer Protection Program (VPP) and Risk Management/Safety Program and will adhere to the established policies and procedures within the Missouri Slope Assisted Living facility and Missouri Slope Lutheran Care Center with regards to job performance and safe operating procedures.
  • Will be responsible for adhering to infection control policies and procedures including proper hand washing, gloving and the use of personal protective devices.
  • This position requires good hearing acuity and the ability to read, write, understand and speak the English language well enough to communicate effectively with tenants and coworkers, as well as receive oral and/or written instruction.
  • This position requires the ability to sit for 97% of shift, stoop and reach. You must be able to use hands to finger, handle or feel. When doing tours, will need to be able to walk and/or be on your feet for 30+ minutes at a time.
  • This position requires that you be able to remain calm and respond in an appropriate manner when under stress.
  • Will maintain confidentiality of all pertinent tenant information.

OTHER JOB FUNCTIONS:

  • Will assist Director in clerical needs as requested.
  • Will assist Nursing staff and Enrichment staff as needed.

WORKING CONDITIONS:

A well lighted and well ventilated 64 apartment retirement community on 2 levels with carpeted and vinyl floors.
