MTC Administrative Assistant, Corporate Corrections in Centerville, Utah

Position Summary:

Reports to the Sr. Vice President, Corrections. Performs a variety of administrative duties relating to corrections operations.

Essential Functions:

  • Provide administrative support to the correction and medical departments; compose various correspondence, reports, and forms and proofread material to verify accuracy.

  • Meeting planning and coordination of agendas, scheduling of hotel rooms, equipment, and logistics.

  • Twice a year submit registration for the American Correctional Association (ACA) conference.

  • Assist with travel arrangements as needed. Also, assist with travel expense reports as needed.

  • Schedule monthly meetings; update the department calendar with pertinent meetings and conferences.

  • Prepare and submit performance incentive bonus forms at the beginning of the year, and track throughout the year.

  • Prepare, review, and submit final forms at the year's close.

  • Review and submit final Employee Performance Appraisals at the year's close.

  • Assist department staff with travel arrangements, prepare all required forms and reports, as needed; ensure staff are informed of important information while on travel status.

  • Compile, format, and submit the Corrections Weekly Brief.

  • Prepare and send out a 20-day notice to wardens, and file facility assessment reports.

  • Assist facilities with Operations Data System access to ensure accuracy.

  • Track, update, and maintain a facility master list of competitors contracts with local, state, and federal governments.

  • Organize private market share information for the board report.

  • Search daily for upcoming proposal contract opportunities.

  • Assist in the on-site transition of new contracts, including travel.

  • Receive, code, submit, and track invoices for the corrections department.

  • Open and distribute incoming mail.

  • Coordinate the Medical, Behavioral Health, CSG, and Regional PowerPoint information for the Officers meeting.

  • Order attendee gifts for any upcoming conferences.

  • Track the training hours for corporate staff for ACA training accountability.

  • Receive and track complaint calls.

  • Maintain facility contact information sheet.

  • Maintain the facility accreditation database.

  • Attend and take minutes for the CSG meeting and MTC Medical meeting.

  • Work with the Policy Director to finalize and submit new and revised policies.

  • Serve as the department intranet content master. Manage the department Intranet and update as needed.

  • Assist MTC Medical for nurse's week in ordering gifts for medical staff.

  • Maintain accountability of property; adhere to safety practices.

  • Demonstrate a commitment to valuing diversity and contributing to an inclusive working environment.

  • Ensure day-to-day activities promote sustainability and reduce the impact on the environment by minimizing waste and maximizing recycling; saving energy; and minimizing water usage.

  • It is expected that the incumbent shall perform other duties as assigned within his/her capabilities as determined by management.

Education and Experience Requirements:

  • High school diploma or equivalent.

  • Four years administrative experience.

  • Excellent verbal and written communication skills.
