Accounts Receivable Specialist - Grand Forks, ND


The Account Receivable Specialist will work with the Accounting Team on all Accounts Receivable related activities to include managing accounts receivable, performing AR account reconciliations, researching payment discrepancies and determining proper application, and assisting PMs with managing client balances.

Responsibilities
  • Perform day to day financial transactions, including verifying, classifying, computing, posting, and recording accounts receivable data
  • Set up, maintain, monitor, and close-out pursuits and projects
  • Work with Project Managers to prepare and finalize invoices to ensure an accurate and timely billing process; assist Project Managers to verify and resolve client billing discrepancies/issues
  • Prepare and send client invoices and cover letters
  • Timely process incoming payments and lien waivers in compliance with financial and legal policies and procedures and identify and resolve client payment discrepancies
  • Process statements, provide client contact reminders, and update and maintain client contacts for statements and invoices
  • Conduct AR Management (ARM) monitoring with Leadership and Client Managers
  • Review, enter, and process office, equipment, and mileage logs for monthly expense billing
  • Identify and report software proficiencies to assist Management and Project Managers
  • Support Accounting Team with special projects, new initiatives, and improvements
  • Perform AR account reconciliation
  • Problem solve and trouble shoot issues
  • Provide Audit support
  • Monitor and ensure accuracy for sales tax needs on invoicing
  • Other duties as requested by Management and Teammates
Basic Requirements:
  • Associate degree plus 5+ years related experience specializing in accounts receivable or related field; or 10+ years experience specializing in accounts receivable or related field
  • Experience with multi state sales tax compliance
  • Excellent verbal and written communication skills
  • Computer literacy with strong knowledge and experience of Microsoft Office software (Excel, Word, Outlook, etc.)
  • Proven success working as a team player to accomplish shared goals
  • Ability to multi-task and effectively manage multiple initiatives simultaneously
  • Strong attention to detail and time management skills
  • All applicants must be able to complete pre-employment onboarding requirements (if selected) which may include any/all of the following: criminal/civil background check, drug screen, and motor vehicle records search, in compliance with any applicable laws and regulations
Preferred Qualifications:
  • Previous experience in an engineering firm
  • Knowledge of Deltek Vantagepoint software
  • Previous experience with invoicing sales tax and sales tax compliance in multi-state locations
