Posting Summary
Rutgers, The State University of New Jersey, is seeking a Manager of Administrative Services for the department of Pediatrics at the Robert Wood Johnson Medical School.This position will have a dual reporting structure to the Chair and Senior Director of Administration. The primary purpose of the Manager of Administrative Services position is to support the research and academic needs/functions of the Department of Pediatrics specifically collaborating with the Chair's Office personnel and various divisions and or programs within the Department.Among the key duties of this position are the following:
  • Manages and fulfills Chair's Office ad hoc initiatives and department wide projects by gathering statistics and data requested for analysis and presentation. Manages or assists with large-scale projects for the department, which include but are not limited to, Faculty and Staff mentorship program, Staff & Faculty Wellness Initiative, Research Day, etc.
  • Provides research related and administrative support to faculty with research initiatives including grant application preparation and Research Day coordination.
  • Coordinates and oversees the management of the Department of Pediatrics Data Warehouse, including database maintenance and management. Maintain connections with other utilized systems such as ICR and PeopleSoft personnel data and payroll.
  • Oversees the Department of Pediatrics Publications such as the Dean's Report, Annual Report and Quarterly Newsletter. Liaisons with faculty and staff to gather information, photos, updates. Drafts reports and creatively formats data for the newsletter.
  • Coordinates important educational conferences (e.g. Children's Health Grand Rounds, Pediatric Annual Symposium, etc.) by partnering with other staff and invited speakers regarding presentation preparation/compliance. Sends out announcements and keep track of attendees.
  • Manages the Department of Pediatrics website content including making changes to names of faculty, job titles, faculty rank, new programs, and removing outdated material. Coordinates with the division directors and staff for updates. Maintains connection with Rutgers Committee and coordinates relevant information with them.

Qualifications

Minimum Education and Experience
  • Bachelor's Degree in related area and two (2) years of professional management experience.
  • Database experience.
Certifications/Licenses
Required Knowledge, Skills, and Abilities
  • Candidate must be a team player, highly organized, self-motivated, and collaborative. Excellent customer service skills.
  • Have the aptitude to organize, retrieve, format, and export data from multiple sources to develop ad hoc and standard reports.
  • Highly proficient in Microsoft Office or similar software is a must.
